Forwarding notarised documents on to their final destination

Notaries are frequently asked about couriering documents or having them forwarded on to their final destination. Sometime the Royal Mail registered post is sufficient; however the more stamps* that go on a document, the more valuable the document becomes.

By stamps* we mean legal stamps; the notary’s signature and associated seals as well as any apostilles– part of the legalisation process undertaken by the Foreign and Common Wealth Office (FCO) – that may be attached to the witnessed document.

The official mailing system in the United Kingdom is the Royal Mail; they offer a variety of services.

National courier services include: Parcel2go, DHL (their web site contains excellent how-to and country information), Fedex, UPS ParcelForce

Private Mailing System. As a point of interest, many Notaries are members of a private mailing system affectionately know as “the DX”. This is the Document Exchange Notaries find the service useful as they can ‘post’ important documents to another member safe in the knowledge that the documents will arrive the next working day. Most solicitors, local authorities, many financial institutions and public bodies are members.

Money Matters
There are a variety of ways that money can be transferred overseas; via a specialist currency broker, high street bank, the Post Office, Thomas Cook or other travel agents. You could transfer money using your own PayPal account (set one up here) or one of the many high profile operators such as Western Union (345,000 agents in 200 countries) or Moneygram (a slightly smaller operation). You can even send cash, cheques or travellers cheques overseas in the post with the Royal Mail's Insured Mail.

Translation Services
It is the duty of the notary to ensure that the content of a legally-binding document is fully understood by the person signing. This can be a problem if the document is written in a language unknown to the signor. If your document is not in English, it may still be notarised if the Notary is satisfied that you fully understand it. However it should be noted that documents that need to be legalised by the Foreign and Commonwealth Office must be in English or have attached an ‘official’ translation.

The translation of legal documents can require specialist knowledge in order to avoid ambiguity and undue delay. And in some cases, depending on the nature of the document, an understanding of legal terminology can be helpful or even essential.

It may be tempting to use one of the free translation services available on the internet; however this may not always be the most cost and time affective solution. If in doubt ask your Notary Public.

Corporate relocation services (moving staff either domestically or internationally) often include locating accommodation for employees and family members.
